Location/ Based: Portlaoise/ Bray/ flexible (some working from home will be available as part of our return to the office post Covid-19 and future hybrid working model)

Due to recent growth and expansion, we now have an exciting opportunity, Facilities Administrator, to join the safety & facility management team at DCC Oil Ireland.

Main Purpose of the Role:

The Facilities Administrator will play a key role in the development of the systems that are integral to the everyday operations at DCC Oil Ireland. As a member of the team, you will be required to support continuous improvement with respect to HSE & facility policies and procedures.

Responsibilities:

• Provide administrative support to the Facilities and Safety department in their day-to-day administrative functions.

• Support the Safety Officer and the Contractor management process which includes liaising with relevant contractors on required documentation, training and other relevant information.

• Support the facility management team to comply with Health, Safety and Environmental requirements e.g. in reporting of incidents/actions, management of documents, risk assessments and other operational controls as appropriate.

• Assisting with maintenance of operational records (electronic/hard copy) for all operating facilities.

• Assisting the facility management team in the scheduling and completion of servicing, calibrations and certification requirements of plant and equipment (additional training will be provided for specific software requirements).

• Assist in the control of regulatory compliance documents, ensuring that all operating site documentation is current and compliant.

• Liaising and communicating with other departments as required to support the facility management team.

• Experience in compilation of reports required on a weekly/monthly frequency etc. e.g. Maintenance and compilation of Key Performance indicators (KPI’s), operating costs etc.

• Support the Safety and Facility functions in the control of Suppliers, purchasing and invoicing.

Education/ Skills/ Experience/ required:

• Minimum Leaving Certificate qualification; relevant 3rd level qualification a distinct advantage.

• Experience with engineering and maintenance would be a distinct advantage.

• Ability to work as part of a team, or individually, as required.

• Excellent planning and organisational skills with attention to detail.

• Excellent communication and interpersonal skills.

• Ability to work in a rapidly changing and dynamic environment under tight deadlines and to meet strict targets.

• Strong IT skills and fully proficient in the use of Microsoft Office.
